1. Application of the General Terms and Conditions of Sale

These General Terms and Conditions of Sale apply to the services provided by the establishment and specified in the attached quotation.

Any reservation implies full and unconditional acceptance by the Client of these General Terms and Conditions of Sale.

In the event of any discrepancy between the specific provisions stated in the quotation signed by the Client and these Terms and Conditions, the provisions of the quotation shall prevail.

2. Reservation

Any reservation is confirmed upon receipt of the signed quotation and payment, within 7 days, of a deposit amounting to 75% of the quotation.

3. Reservation Guarantee

Rooms:
The exact number of rooms and participants must be confirmed, along with a name list, no later than 14 days before the event.
Rooms are available from 3:00 PM and must be vacated by 11:00 AM on the day of departure. Late check-out will be subject to additional charges.

Meals:
The exact number of covers must be confirmed no later than 7 days before the event.

Billing will be based on the number of rooms and covers reserved.

Force Majeure:
In the event of a force majeure situation (fire, water damage, etc.) preventing the hotel from providing the agreed services, this contract will be automatically terminated and the deposit refunded, with no additional compensation.

4. Allocation of Spaces

Any significant change in the number of participants must be communicated prior to the event.
If the number is lower than initially planned, the hotel reserves the right to allocate a different space without entitlement to compensation.

5. Modification of Services

Any request for modification must be made in writing.
Unless expressly accepted by the establishment, the contract will be executed according to the initial quotation.

6. Cancellation Conditions by the Client

Unless otherwise specified in the special conditions, the client may cancel under the following terms:

a) Full cancellation:

  • Full refund of the deposit for cancellations up to 30 days before the event

  • 50% refund for cancellations between 29 and 15 calendar days before the event

  • 30% refund for cancellations between 14 and 5 calendar days before the event

  • Cancellation less than 5 calendar days before the event: deposit retained in full

b) Partial cancellation:

  • Up to 10% of rooms or covers:

    • Up to 2 days before the event: no charge

    • Less than 2 days: 100% charge

  • Between 10% and 20% of rooms or covers:

    • Up to 30 days before: no charge

    • Between 29 and 15 days: 50% of cancelled services charged

    • Between 14 days and the event date: 100% charged

  • More than 20%: full cancellation terms apply

7. Cancellation by the Hotel

In case of cancellation initiated by the hotel, the client will be refunded double the deposit paid.

8. Extras

All extras must be paid on site by each participant before departure.
Failing this, the client agrees to cover any unpaid extras and will be held jointly liable for their payment.

9. Payment Terms

Payment for services is due upon receipt of the invoice.

10. Late Payment Interest

Any late payment will incur interest at the rate applied by the European Central Bank to its most recent refinancing operation, plus 10 percentage points, in accordance with Article L.441-6 of the French Commercial Code, from the invoice due date.

11. Relocation

In case of unavailability or force majeure, the hotel reserves the right to relocate all or part of the participants to a nearby hotel of equivalent category and services, at its own expense, without entitlement to compensation.

12. Photography

The client must obtain prior authorization from the hotel for any photo shoot and provide any necessary permissions.

13. Sales and Conduct

No sales activity or contract signing is allowed in the rented spaces.
The organizer agrees not to invite any person whose behavior may harm the hotel.
Otherwise, the hotel reserves the right to intervene, and the client will be held responsible for any damage caused by participants or guests, including the cost of repairs.

14. Insurance – Damage – Theft

The client remains responsible for all items and equipment brought into the spaces provided by the hotel.

The client may take out any insurance deemed necessary to cover risks of theft or damage.

15. Claims and Disputes

Any claim or dispute must be submitted in writing to the establishment within 8 days after the end of the event.

Any dispute that cannot be resolved amicably will fall under the jurisdiction of the competent court within the Aix-en-Provence Court of Appeal.
